- Provide administrative support to the CEO, including but not limited to coordination of internal and external meetings, administrative staffing of Board of Directors and committee activities, and facilitation of communications between CEO and department directors and all other sites and staff.
- Prepares special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies. Maintains the leader's calendar, exercising considerable discretion and judgment as to priorities and effective use of the leader's time.
- Provides strategic oversight to CEO in scheduling, including coordinating and follow-up on action items for internal and external meeting including board of directors, volunteer committees, schedule and engagements including problem solving, stewarding, and confirming internal and external invitations; and follows-up with meeting participants for resulting deliverables. Assist Leadership Team and Management Team meetings.
- Work with Grants Manager to ensure grant agreements, payments and report data is accurate and entered into Raiser’s Edge. Facilitate communication between CEO and department directors and other staff as appropriate.
- Provide administrative logistics, and event support to the Board of Directors, manage board documents and attend board meeting prepare reports, presentations, and correspondence, ensuring all materials are accurate and professionally formatted.
- Maintain board records, including board minutes, agendas, up-to-date Board member files in compliance with bylaws, legal, and funder requirements. Board PD/Training, OMA, Conflict of Interest, Epicenter Compliance
- Maintain and distribute accurate roster of Board of Directors and committee membership, Board of Directors Manual and meeting calendar.
- Inform and coordinate with other senior staff as appropriate.
- Process all incoming and outgoing correspondence, including word processing, mailing, filing and calendar coordination.
- Provide support as requested by the CEO for production of reports, projects, proposals and correspondence that will need executive review or signature.
- Serve as back up for receptionist.
- Monitor and collect outstanding pledges, recurring and matching gifts. Work with Grants Coordinator
- Work with relationship managers to establish and maintain stewardship protocols.
- Assist Development team with all event and gala logistics, play active role in meeting all gala and event financial goals, including managing the event’s auctions. provide excellent customer service while interacting with various populations including Board members, donors, interns, volunteers, staff and participants.
- Serve as a representative of Christopher House and at Board events as needed. Provide support to the Development office including assisting in scheduling and preparation for meetings and agency special events.
- Deliver high level of quality control and implement best practices for gift processing procedures and data input into Raiser’s Edge
- Assist with the maintenance of donor data base including gift acknowledgement, donor stewardship, task and file updates and data management.
- Create and maintain accurate and timely fiscal progress and donor reports
- Support CEO and development team with expenditures paperwork by collaborating with Finance Department on reconciliation, paying invoices, submitting credit card paperwork, reimbursements.

- Work collaboratively to integrate operation and services with all departments, staff, volunteers and interns.

- Ensure on time and accurate collection of data using organization’s database and/or funder
- Analyze data with team members to determine how to explain information related to findings and improvement strategies.
- Report findings to supervisor; make recommendations for improving quality of services and and/or department’s outcomes system; ensure successful implementation department strategies.
- Use outcome findings to enhance organizations public image and promote programs to families, volunteers, funders, and stakeholders.
- Respond to agency and stakeholder needs by performing assigned tasks, which do not fall within the above description.
- If such tasks are not of a temporary nature, they should be added to the positions designated responsibilities.
- Requires three to five years of experience as an Executive Assistant, Office Manager experience
- Demonstrated proficiency with word processing, PowerPoint, Excel spreadsheets and database software.
- Ability to maintain calm and courteous demeanor and work productively despite heavy workload, competing priorities, complex problems, and tight deadlines.
- Considerable skill in working both independently and as a team member. Take initiative and organize and complete projects with minimal supervision.
- Excellent interpersonal and customer service skills. Handle public contacts with courtesy, clarity, and diplomacy.
- Handle sensitive and confidential situations and information with absolute discretion.
- Excellent problem-solving skills. Follow an issue through to resolution.
- Monitor email outside of business hours.
- High school diploma required. College degree preferred, with excellent language and grammatical skills.

POSITION OBJECTIVE
Provide executive administrative support, including maintaining efficient and proactive day-to-day, as well as strategic long-term, administrative support to CEO and Development Team. Coordinate communications, activities and special projects as assigned by the CEO. Responsible and confidential administrative in a professional work environment, which includes receiving, screening and routing correspondence. Ensure the CEO and development team can execute fundraising efforts and accomplish its goals by managing a comprehensive set of development functions
