POSITION SUMMARY:
Highly responsible administrative work providing support to the Division Chief and staff performing tasks essential to preparing contracts for construction and professional services, tracking project schedules, maintaining division staff schedules, assistance to the Division Chief in tracking project budgets, creation of purchase orders and processing of invoices for payment.
STARTING SALARY HIRING RANGE:
$23.87 - $26.92

CLASS DESCRIPTION:
Performs advanced technical level administrative support work, which may include supervisory responsibility, under general supervision from an administrative or technical superior. Work typically involves administrative support, technical tasks and secretarial work assisting legal staff or an executive level government official. Applies bookkeeping, accounting and data processing principles to accounting and financial record keeping and reporting systems at the advanced technical level. Work at this level may also include independent responsibility for a significant administrative or clerical process.
Position Duties
Include the following. Other related duties may be assigned.
Acts as the primary point of contact for all calls related to capital project construction and renovation projects, directing calls as appropriate and/or addressing caller inquiries. Must be verbally articulate and have a strong vocabulary.
Maintains the Division Chiefs calendar.
Maintains a project schedule for the division, incorporating work assigned to each project manager and gathering required information from project managers to keep the schedule up to date and accurate.
Maintains project files.
Assists division staff in the preparation of contract documents for professional services and construction.
Assists in the tracking of project budgets.
Responsible for accurately recording and managing employee time and attendance data.
Assists in the processing of financial reports.
Assists in processing payments and maintains files for the Facilities/Division of Design and Construction capital project expenses.
Conducts research, internet and other on issues pertaining to the work of the division.
Formats and composes typical business correspondence such as letters and letters of transmittal. Must have the ability to compose business correspondence from verbal instruction or notes.
Must have the ability to learn new software programs and techniques.
Must have strong skills in Microsoft Excel with the ability to create and format worksheets and workbooks; manipulate mathematical formulas; link cells within and between worksheets.
Must have strong skills in Microsoft Word with the ability to format and edit documents using headers and footers, tabs, outlines and page numbers; ability to use track changes.
Minimum Qualifications
Associate's Degree and two (2) years of related experience or equivalent combination of education and experience.
PREFERRED EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES:
Experienced in accounting and in the use of SAP (Systems, Applications and Products) software.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
