Staff Accountant – Government Contracting
Location: Hybrid/Aberdeen, MD/Annapolis, MD
Fairwinds Technologies is seeking an experienced Staff Accountant with a strong background in government contracting to join our finance team. The Staff Accountant will be responsible for managing billing, collections, and payment processing activities along with assisting the Finance and Accounting manager with monthly tasks. The ideal candidate thrives in a fast-paced environment and brings knowledge of FAR/DFARS, DCAA/DCMA compliance, and federal billing structures.
Responsibilities:
Accounts Receivable
- Review and set up new customer contracts and detailed estimates.
- Work closely with Program Management, and Finance to validate invoices, billing terms, CLIN structure, contract mods, and funding limits.
- Prepare, submit, and record accurate and timely invoices with supporting documentation for multiple contract types in compliance with government regulations and contract terms through various government and customer portals.
- Monitor accounts receivable aging schedules, follow-up on unpaid invoices and ensure timely collections through direct engagement with contracting officers, payment offices, commercial customers, and internal program managers.
- Ensure proper cash application and payment reconciliations.
Monthly Close
- Assist with month-end and year-end close processes and workpapers.
- Assist with job cost verification reports, ensuring accurate journal entries are made for unbilled/unearned revenue, and accrued expenses.
- Reconciliation of bank, credit card, prepaid, insurance, facility, project, and other financial accounts as needed.
- Assist with monthly sales tax reporting.
- Assist in preparing internal financial statements and reports.
- Maintain fixed asset records, calculate and record depreciation and amortization.
Budgeting and Forecasting
- Assist in the preparation of annual budgets and monthly forecasts.
- Monitor actuals vs. budget and report variances.
Compliance and Controls
- Ensure compliance with internal accounting policies and procedures.
- Support internal control initiatives and documentation.
Special Projects
- Support assistance with external audit and tax preparation efforts.
- Participate in system upgrades or implementations.
- Support process improvement initiatives.
- Perform ad hoc financial analysis as needed.
Qualifications:
- 2+ years of accounting experience with a government contractor.
- Proficient in government invoicing tools and systems, including WAWF, DFAS, IPP, DOVA, and customer portals like CACI.
- Understanding of FAR/DFARS, DCAA audit standards, and federal billing practices.
- Experience with T&M, Cost-Plus, FFP, and Progress Payment contract types.
- Proficient in Microsoft Excel and Office Suite.
- Exceptional attention to detail and time management.
- Ability to work as a collaborative team member
- Accounting system experience with QuickBooks Online
- Familiarity with small business contracts
Position Type/Expected Hours of Work:
This is a full-time, exempt position.
