POSITION OBJECTIVE |
Reservations Group Rooms Coordinator manages all aspects of the group reservations process ensuring a positive experience for both meeting planners and guests while adhering to contract terms and policies and maximizing revenue.
ESSENTIAL JOB FUNCTIONS |
- Responsible for the group reservation process including ensuring blocks match Delphi, monitoring of cut-off dates and contract terms.
- Audit group blocks at least once a week.
- Set up groups in Passkey as needed to be bookable on-line.
- Manage interface between Passkey and Opera.
- Manage, track and communicate attrition deadlines to clients.
- Assist CCS team with Group Resumes by verifying rooming lists, group pickup, and adding Front Office notes.
- Extensive data entry of guest content and rooming lists.
- Review the No Show Report for group no shows, contact the group if needed.
- Positive & effective communication with group contacts and meeting planners.
- Provide Sales and Convention Service teams with one reservations point of contact.
- Attend pre-convention meetings.
- Complete attrition reports and final billing 1-3 days after the group departs.
- Answer and respond to emails from guests, clients and colleagues in a timely manner. This applies to all email inboxes assigned to the Group Rooms Coordinator.
- Maintain data entry accuracy and attention to detail with organized systems.
- Training of new and existing Reservation agents on group reservations.
- Assist with leisure and group reservation calls as needed.
- Apply professional sales techniques using approved conversation flow guidelines.
- Maintaining current knowledge of all resort offerings and hours of operation.
- Coordinating with other departments to ensure an extraordinary experience to all guests.
- Meet department and individual metrics (such as revenue, conversion, and quality standards).
- Ability to handle escalated or complex calls, while striving for the highest level of customer service.
- A flexible schedule may be required to include weekends, holidays, and various shifts.
QUALIFICATIONS |
- High school diploma or equivalent required.
- Hospitality or call center experience in a fast-paced, high volume, service environment.
- Strong customer service experience required.
- Must have the ability to multi-task.
- Must have the ability to speak, read and write English fluently, bilingual a plus.
- Strong computer skills. Experience with Microsoft Office Suite, Opera Cloud, Passkey, and Delphi a plus.
- Pre-employment background check required.

Ability to deal with problems involving a few concrete variables in standardized situations. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
Other Skills and Abilities: Ability to communicate and work well with fellow employees and other departments. Maintain a presentable appearance, behavior and manner at all times.

- While performing the duties of this job, the employee will be sitting for extended periods of time answering and sending emails.
