Description

Basic Function

This position will provide Divisional Sales Executive leadership with administrative support. The ideal candidate is an excellent communicator who is highly organized & works collaboratively. This position supports our team in the West so the ideal candidate is located in the Pacific or Mountain timezone.

 

Responsibilities

Administrative Support

  • Manage the executive’s calendar, including coordinating meetings, sales calls, pipeline reviews, and branch visits with recruits, loan officers, branch managers, and Churchill leadership
  • Track and submit monthly expense reports and mileage
  • Prepare agendas, reports, slide decks, and follow-up notes for meetings
  • Coordinate logistics for recruiting meetings, trainings, or branch/company events
  • Plan and assist with marketing events or networking functions in collaboration with marketing & branch staff

Sales & Pipeline Coordination

  • Assist with compiling weekly/monthly sales reports and pipeline summaries
  • Track and follow up on key sales metrics, team production goals, and performance dashboards
  • Prepare branch, region, or individual performance data for executive review

Communication & Client Relations

  • Serve as the liaison with loan officers, branch staff, Churchill leadership & stakeholders
  • Draft and send communications to Divisional sales teams, and leadership
  • Manage database
  • Support appreciation efforts—cards, gifts, event invites, etc.

Recruiting & Onboarding Support

  • Assist with resume screening and LinkedIn outreach, as needed
  • Organize candidate interviews and recruiting calls/lunches/dinners
  • Enter all new hire details into the internal system to kick start employee onboarding
  • Help prepare new loan officers or branch hires for onboarding

Travel & Logistics

  • Arrange travel for branch visits, conferences, or partner meetings
  • Prepare itineraries, confirm meeting locations, and manage last-minute travel changes
  • Marketing & Brand Support
  • Manage social media for region and executive
  • Coordinate printing or delivery of marketing materials for sales team or events

Confidential & Strategic Support

  • Handle confidential information related to compensation, recruiting, or personnel issues
  • Help the executive prioritize competing demands and assist with day-to-day workflow
  • Act as a sounding board and thought partner to help anticipate needs and spot issues

Perform other duties and projects as assigned or requested

Qualifications


Skills

Independent Judgment, Oral & Written Communication Skills, Analyzing Skills, Customer Service, Diplomacy, Organization, Professionalism, Time Management, Computer Literacy, Alpha/Numeric Keyboard Skills.


Education/Experience

  • Minimum 2 years of mortgage experience
  • Minimum 2 years of experience supporting leadership
  • Experience managing social media in a professional capacity
  • Bachelor’s degree preferred; High school or equivalent required


Computer Skills

Candidate must have advanced proficiency in Excel, Outlook, and PowerPoint. Expertise with these particular Microsoft Office applications—alongside general computer and mobile device skills—is a critical requirement for successful performance.

 

Other Requirements:

Must be able to pass a criminal history information background check. Remote workers must have access to reliable, high-speed internet (not satellite; Minimum of 25 Mbs download speed and 15 Mbs upload speed). 

Compensation

$75,000 - $85,000/year
