QUALIFICATION REQUIREMENTS:
• Degree required or equivalent experience 5-10 years in Residential Operations and/or management.
• Reading, writing and oral proficiency in the English language.

JOB FUNCTIONS: Planning
• Conduct regular tours of the residences and make recommendations for changes as well as note deficiencies and ensure corrective action is taken.
• Meet on a regular basis with all managers, supervisor, and non-management employees.
• Develop profit improvement ideas, policies and procedures and implement them with approval of the General Manager and Board of Directors
• Provide perspective and insight on to ensure all areas of the Residential operation are appropriately staffed to handle demand periods and that staff are well trained, polite and conduct themselves in a professional manner.
• Ability to develop, with the aid of key personnel, strategies and programs to ensure attainment of the Residential goals and objectives.
• Ability to prepare a comprehensive annual operating Residential plan.
• Collaborate with Director of Finance, and Engineer in creating a capital expenditure/reserve study plan. Organizing
• Coordinate and manage the day-to-day operations of the Residential Department.
• Ensure all Four Seasons Residential Policies and Procedures are followed.
• Review monthly profit and loss statement of HOA, with the Director of Finance, analyze results and take action by collaborating with Residential management team members when necessary.
• Monitor all standards in the Residential operation to ensure they are in place and adhered to.
• Develop and install a system of standards of performance within Residential, whereby each individual may objectively appraise their own performance.
• Actively provide feedback/insight of observations of adherence of standards (outside of Residential department) to relevant department heads/managers.
• Implement performance planning and review all Residential management and line staff, according to established performance standards and mutually agreed upon results to budgeted plans.
• Prepare, organize, manage and attend HOA Board Meetings. Administration
• Set forth clear guidelines and ensure that these are adhered to throughout all residential operations.
• Implement and develop training programs in Residential to produce in-depth qualified personnel, to ensure retention of staff, and to prepare for vacancy and/or transfer requirements.
• Set forth minimum acceptable standards of quality, operation and service as a benchmark point for self-measurement.
• Supervise all key management personnel in carrying out their operating responsibilities and tasks, coordinating efforts and establishing priorities where necessary.
• Collaborate with Director of Finance to ensure proper guidelines are adhered to for all capital and reserve fund expenditures and projects are completed on a timely basis and on budget. Controlling

Meet with the Director of People and Culture on a regular basis to review staffing requests, morale, disciplinary situations. Aid in the development of existing Residential personnel and assist in the recruitment of Residential employees.
• Have a thorough understanding and ability to explain Residential Governing Documents (CC&Rs, Bylaws and Rules and Regulations).
• Participate in budget preparation and lead annual Corporate/Board budget presentations.
• Meet with Finance team monthly in review of Profit & Loss report in order thoroughly understand and explain performance of HOA budget for Residential, when necessary, with confidence.
• Respond appropriately in the event of any residential emergency or safety situation as part of the Emergency Response Team and comply with all local codes and ordinances with a focus on resident and employee safety.
• Represent the interests of the Residential and of its personnel in a fair, impartial, and equitable manner.
• Conduct oneself in an ethical and exemplary manner that encourages like manner and conduct.
• Lead with intellectual and emotional maturity, demonstrating a personal philosophy of life and work habits, practicing consulting supervision and observing ethical business practices. Working/External Relationships
• Keep the General Manager informed regarding your observations of the condition of the Residential space and all-important factors of the operation.
• Review major activities and plans to ensure the Residential receives the benefits of the input from General Manager to ensure the Residential operation is conforming to the most recent company views and policies.
• Cooperate effectively with peers and associates sharing mutual interests, concerns, advice and specialized knowledge.
• Convey clear instructions/guidance with proper intent to achieve a unity of purpose.
• Establish working relationships that will attain a high-level employee morale.
• Represent Four Seasons and Residential to the public, industry, and government in such a manner to enhance the reputation of Four Seasons to gain recognition for their competency and contribution.
• Attend functions, social and/or business, to help develop a rapport and to establish credibility within the Residential Owners, local community, and guests.
• Maintain a solid working relationship with the Residential Board of Directors and Owners.
• Personally meet and interact with owners, review all written owner comments, and follow up on any Owner service/product issues or needs.
• Display at all times a friendly, courteous and professional manner in dealing with Owners, guests and other employees.
• Perform other tasks or projects as assigned by management. Legal/Financial Responsibilities
• Educate owners regarding their entitlements as it relates to their specific ownership and legal agreements in order to enhance their experience.
• Demonstrate an understanding of all legal agreements pertaining to the operation of the Residential.
• Conduct meetings with Board of Directors with respect to By-Law requirements.
• Master the syndicate budget process and financial reporting obligations, with the assistance of the Director of Finance.
• Participate in the HOA budget preparation and lead presentations to Corporate and the Board of Directors.
• Take the lead in preparing and organizing all Board meetings including the Annual Meeting of the Members/Election.
• Make suggestions for improvements in overall operations with an emphasis on increasing Owner satisfaction, revenue and reducing costs
Meet with Director of Finance on a monthly basis to ensure HOA fees are invoiced collected.
