The purpose of this position is to provide part-time clerical support to the Information Technology department and serve as receptionist for City Hall. This is accomplished by providing customer service, answering switchboard, providing various administrative services, maintaining records and interfacing with other City employees and citizens. This position does not provide direction to other employees.
Position Duties
The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.
Work from 8 AM - 12:30 PM each day at City Hall main entrance
Answers the main phone line for the City of Allen and serves as receptionist to City Administration visitors. Responds to calls and inquiries and proactively resolves customer service issues.
Provides information to the general public, greets visitors, and provides general information.
Receives, reviews and distributes mail and processes outgoing mail.
Provides administrative support for the Information Technology department which includes correspondence, reports, spreadsheets, registration and travel arrangements, itineraries and travel reimbursement forms, maintaining various calendars, and reconciliation of p-card charges.
Position includes sick and vacation hours and employee retirement (TMRS)

Performs other duties as assigned.
Minimum Qualifications
Education & Experience Work requires knowledge necessary to understand basic operational, technical, or office processes. Level of knowledge equivalent to four years of high school or equivalence.
One year of relevant experience.
Certification and Other Requirements
Valid Texas Drivers License.
Supervision Exercised: Receives directions: The employee normally performs the duty assignment after receiving general instructions as to methods, procedures, and desired end results with some discretion when making selections among a few, easily identifiable choices. Assignment is reviewed upon completion. No responsibility for the direction or supervision of others.
Overall Physical Strength Demands
Standard office environment.; Ability to sit or stand for long periods.; Ability to lift, carry, push, pull, reach, kneel, crouch, crawl, bend, twist, and climb.
Other Qualifications
Knowledge of:
Modern office practices, procedures, and equipment
Customer service principles and techniques for front-line public service
Business correspondence, grammar, and professional communication standards
Records management practices, including filing and data organization
Basic accounting and financial processes such as p-card reconciliation
Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and related software tools
City policies, procedures, and services (or ability to quickly learn)
Skilled in:
Providing courteous and professional customer service in person, by phone, and electronically
Managing multiple tasks, calendars, and priorities with accuracy and attention to detail
Preparing, formatting, and proofreading correspondence, reports, and spreadsheets
Operating a multi-line switchboard and directing calls efficiently
Coordinating travel arrangements, registrations, and reimbursements
Processing and distributing incoming/outgoing mail and maintaining office supplies
Communicating effectively with diverse groups, including City staff, officials, and the public
Exercising discretion, integrity, and professionalism in handling confidential or sensitive information
