This position is not location specific and can be housed within any of our offices.  This position reports to the Senior Director Billing & Collections and the Billing & Collections Manager.

Job Summary (basic description)

The Billing Budget & Invoice Specialist is responsible for all processes relating to the set up and submission of our budgets and matters for our electronic clients and carriers. The Billing Budget & Invoice Specialist will work directly with attorneys, the billing team, and billing manager to obtain and submit budgets to various electronic billing sites and ensure that new matters are fully set up on the ebilling sites as required by our clients/carriers.  Monitor invoices for carriers that require final invoice approval before sending to the client.  Work closely with appeal team, e-biller and biller to identify issues during reconciliation that need attention.

Essential Functions

  • Collaborate with attorneys and supervisor to develop matter level budget.
  • Organize budget templates and data in a clear and intuitive manner.
  • Determine whether budget proposals are in compliance with activity recorded in the Accounting system.
  • Follow up with attorneys, adjustors and clients to ensure completion of budget and matter requests.
  • Monitor Budget errors on eBilling program to identify and resolve issues.
  • Monitor billing to ensure matter remains within budget.
  • Prepare budget revisions as needed when work exceeds initial budget
  • Follow-up timely with attorneys to ensure budgets are processed timely
  • Monitor and report budget statuses to Billing Coordinators.
  • Reviews new open matters for eBilled clients and carriers to notify client/carrier contact to activate matter in eBilling sites.
  • Review new open matters ensuring all relevant electronic billing information has been properly entered into the eBilling site and Accounting system.
  • Monitor carrier final invoice approval for notification to billers to send invoices to client
  • Notify appeal team of any appeal reductions that come through close to appeal deadline date that have not been processed or written off on carrier invoices being monitored.
  • Notify ebilling team of any rejections or errors seen while monitoring carrier open invoices.
  • Provide project summary status reports to management as required or requested.

Qualifications/Skills Required

  • Prior law firm E-Billing experience preferred but not required.
  • Knowledge of Microsoft Office including Microsoft Word, Outlook and Excel.
  • Must be able to work independently and prioritize work.
  • Ability to multi task
  • Excellent organizational and time management skills.
  • Ability to write and communicate effectively, and professionally with employees, clients, and attorneys.
  • Knowledge of Aderant software preferred but not required.
  • Strong analytical and Excel skills including (v-look-ups and pivot tables), and the ability to review and interpret reports.
  • Experience with some online E-Billing vendors such as Legal Tracker, TyMetrix360, Collaborati, CounselLink and Legal Solution, as well as Bill Blast preferred but not required.

For New York, the expected hourly range for this position is between $28.00 and $35.00. The actual compensation will be determined based on experience and other factors permitted by law.
