Long-Lewis of Muscle Shoals is looking for a Commercial Sales Manager Assistant to support the Commercial/Fleet Sales Manager in coordinating and executing the sale of vehicles to government agencies, municipalities, and commercial clients. This role ensures the smooth operation of the government fleet sales process—from vehicle ordering and upfitting coordination to documentation, invoicing, and customer communication.
Key Responsibilities:
Administrative Support:
Assist the Commercial Sales Manager in daily operations, including scheduling, email correspondence, and recordkeeping.
Prepare and maintain sales documentation, bids, quotes, purchase orders, and government contract files.
Track and manage vehicle orders, delivery schedules, and inventory specific to fleet and government customers.
Customer & Vendor Coordination:
Communicate with government agencies, municipalities, and vendors to confirm specifications, timelines, and delivery details.
Support upfit coordination for police, fire, and utility vehicles (e.g., lights, cages, decals, equipment installation).
Ensure customer satisfaction through timely updates and professional service.
Sales & Data Support:
Assist in preparing proposals, bid packages, and pricing sheets for state and local contracts.
Maintain an accurate CRM database of government and fleet clients.
Generate reports for sales tracking, profit analysis, and forecasting.
Vehicle Management:
Coordinate with service and parts departments to ensure vehicles are properly prepped, upfitted, and delivered on schedule.
Manage titles, registrations, and delivery paperwork for government contracts.
Compliance & Documentation:
Ensure all government contracts, bids, and sales documents comply with applicable laws, OEM requirements, and dealership policies.
Qualifications:
Previous experience in automotive sales support, fleet management, or government contract administration preferred.
Strong organizational and multitasking skills.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and CRM software.
Knowledge of vehicle procurement processes for government agencies a plus.
Valid driver’s license required.
