Founded in 1935, Alcoholics Anonymous World Services (AAWS) is a 501(c)3 non-profit organization and an international fellowship of people who have had a drinking problem. The Alcoholics Anonymous fellowship is nonprofessional, self-supporting, multiracial, apolitical, and available almost everywhere. The General Service Office (GSO) in the Morningside Heights neighborhood of New York City employs approximately 95 people (both alcoholic and non-alcoholic) and serves over 1.5 million members in the U.S. and Canada.
Our mission at the GSO is to support carrying the message of Alcoholics Anonymous to the still-suffering alcoholic by providing services to A.A. members, groups, and others; publishing and distributing A.A. literature, preserving A.A. history, and sharing A.A.’s collective experience. Not only is our team incredibly mission-driven, but also tremendously supportive of each other as both colleagues and individuals.
Summary
The Editorial Project Coordinator supports the day-to-day operations of the publishing department’s editorial production workflow. This position assists with scheduling, tracking, and implementing revisions that help keep titles across formats current and consistent amid ongoing updates to backlist titles and reprints in English, Spanish, and French. The Editorial Project Coordinator helps maintain production schedules and supports new item planning as directed by the Managing Editor.
This role is perfect for someone who loves words, details, deadlines, and is looking for an opportunity to learn the craft of publishing in a mission-driven setting.
Responsibilites
- Collaborate closely with our Managing Editor to establish daily, weekly, and monthly publishing priorities and develop workable timelines.
- Coordinate, communicate, and monitor publishing schedules for items in English, French, and Spanish across editorial, production, and translation teams as appropriate.
- Enter and maintain title information in designated workflow and scheduling platforms.
- Develop and implement processes to improve existing workflows.
- Track progress of projects and communicate updates to relevant team members to ensure deadlines are met.
- Proofread final copy for errors and ensure necessary corrections and revisions have been made.
- Copyedit and proofread various reports for board and committee meetings, the General Service Conference, and other projects, as assigned by the Managing Editor and Publishing Director.
- Collaborate closely with Designer/Typesetter to communicate and implement changes.
- Collaborate closely with the Language Services Department to ensure literature and other projects are accurately updated in a timely manner.
- Collaborate closely with A.A. Staff Members, particularly when it comes to updating Service Material.
- Communicate with freelancers (e.g., copyeditors, proofreaders, and audio/video quality assurance specialists) as assigned.
- Collaborate with Production Managers to ensure digital, print, and audio/video materials are released on schedule and kept up to date.
- Coordinate with and provide administrative support for the Communication Services team to ensure all editorial materials on the website are developed, posted, and updated on a timely basis.
- Assist with departmental documentation, reporting, and file organization.
- Perform other duties and special projects as assigned by the Managing Editor.
- Strong organizational, communication, and time management skills.
- Excellent attention to detail and ability to track multiple projects simultaneously.
- Basic understanding of editorial, production, and content development processes.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and familiarity with workflow and scheduling software.
- Strong proofreading and copyediting skills.
- Ability to collaborate effectively in a team environment.
QUALIFICATIONS
- Minimum 2 years of experience in a publishing, editorial, or production support role.
- Experience working with publications in multiple languages a plus.
- Familiarity with A.A.’s Steps, Traditions, and Concepts also a plus, but not required.
Physical Requirements
- Availability to work in person a minimum of three days per week.
- Some weekend or evening work may be required during busy times, General Service Board weekends, or Conference.
- Frequently required to sit, stand, walk, and occasionally stoop, kneel, or crouch.
- Ability to lift and/or move up to 20 pounds.
- Ability to use a computer including tasks such as typing and using software and the ability to read and interpret data on a computer screen for extended periods.
- Ability to work in an indoor office setting with controlled climate conditions.
- Tolerance to moderate noise levels typical of an office setting.
Location
This position is in New York City, we currently work a hybrid schedule of 3 days in office and 2 days remote with occasional additional in office days.
Pay & Benefits
This is a non-exempt position with an annual pay range of $65,000 - 70,000 plus approved overtime.
