Responsibilities:
- Receive, direct and relay telephone messages.
- Distribute incoming/outgoing mail as well as maintenance of the postage machine. Receive and distribute all general correspondence.
- Coordinate courier services for the company as well as review and negotiate rates.
- Manage the inventory of company stationery and supplies as well as place orders. Periodically review and negotiate better pricing for supplies.
- Coordinate the repairs and maintenance of office equipment (copy machines, postage machine, etc.).
- Greet, assist and/or direct visitors and the general public.
- Process accounts payable transactions for freight and analyze freight reporting at month end. Responsible for maintaining current freight information for all carriers (freight rates, fuel surcharges, etc.)
- Maintain a professional and clean work space which includes desk, reception area and storage room.
- Conducting and working with various departments to make sure Exports are loaded and invoiced. Management of export documentation.
Requirements:
- Sound knowledge of office administration.
- Strong knowledge of software applications such as Microsoft Office and Freight Accounting.
- Basic accounting knowledge is an asset.
- Perform tasks with accuracy and completeness.
- Strong decision-making and time management skills.
- Strong organizational skills with an ability to prioritize and handle multiple tasks.
- Professional, respectful and courteous demeanor at all times.
- Ability to communicate effectively orally and written.
- Works cooperatively and collaboratively with others to achieve goals.
- Professionalism demonstrated on a daily basis.
- Competency in terms of multi-tasking and an ability to maintain an organized office environment.

- Grade 12 education or equivalent.
- Certificate or diploma in Business Administration is an asset.
- 2-3 years experience in a related office role.
