Job Description

KEY RESULTS AREAS:

  • Provide support to Project Managers with regards to:
  • Capturing, creation and obtaining approval of Project Documentation such as:
  • Project Charter, Scope of Work (SoW), Project Schedules, Minutes of meetings, Rollout Plans, etc.
  • General project administration tasks i.e. data capture, filing, minutes, phone calls, updating documentation, secretarial duties, tracking installations, etc.
  • Communication with project stakeholders
  • Follow-up on outstanding issues
  • Follow-up on outstanding project documentation (eg. Sign offs)
  • Follow up on logistics
  • Assist with the Facilitation of project workshops
  • Assist with reporting on Project Status
  • Arrange any meetings required for project meetings
  • Provide Project Administration support across multiple projects
  • Work onsite at the customer premises when required (or as the project dictates)

QUALIFICATIONS:

  • Matric qualification
  • Office Administration or project administration
  • Good Microsoft Office skills (Outlook, Word, Excel, PowerPoint)
  • Advantage to have: Knowledge of the Bytes process in delivering projects to retail and/or financial customers
  • Advantage to have: knowledge of how the various Bytes processes work when delivering projects (eg. IMC process, SCM, etc.)
  • Advantage to have: ITIL knowledge

EXPERIENCE:

  • Quality checking documents and correcting where necessary (word docs and presentations)
  • 2-3 years’ experience in project administration
  • Experience in MS Projects and Excel would be an advantage
  • General understanding of a project’s life cycle and a methodology
  • 2 – 3 experience in a project management environment coordinating various activities (eg. Scheduling of Field service technicians; follow ups with technicians and other resources, etc.)
  • Astea call management experience is essential
  • Advantage to have: Updating site installation lists, tracking issues, follow ups with regards to outstanding work, etc.

TECHNICAL SKILLS:

  • Computer literate: MS Office (full package – Word, Excel, Powerpoint)
  • Knowledge of Project Tools would be an advantage (eg. Microsoft Project)
  • Strong Administrative skills
  • Good Organisational skills
  • Good telephone skills
  • Very organised and methodical
  • Knowledge of Astea would be an advantage.

National Certificate Level 4 (N4) / Grade 12: Grade 12 (Required), Professional Qualification: Office Administration (Required)
