Job Profile

Reporting to the Manager of Human Resources, the HR Assistant plays a key role in supporting the day-to-day operations of the Human Resources division. This dynamic position involves a variety of responsibilities, including recruitment support and onboarding, maintaining both physical and digital employee records, and serving as the first point of contact at the HR front desk and phone lines.

The HR Assistant coordinates new hires and internal transfers using SAP/SuccessFactors, ensuring smooth transitions and accurate data processing.  All tasks are carried out in alignment with corporate policies, collective agreements, and relevant legislation, contributing to the efficient and compliant handling of employee information.

This position is available immediately for approximately 18 months.

What you will be doing

  1. Supports all recruitment processes as assigned including but not exclusive to ensuring proper authorizations are received, updating vacancy lists, preparing/maintaining competition files, internal postings and external advertisements, scheduling interviews, administering assessments, performing reference checks, drafting offer letters, onboarding, prepares and sends out Successful Candidate Notices to departments and unions.  
  2. Responsible for the onboarding, hiring, transferring, creating and updating employee profiles using SAP/SuccessFactors. 
  3. First point of contact for all HR internal and external related inquiries at the front counter and over the telephone.
  4. Provides administrative support to the HR division and assists with day-to-day operations of the HR functions and duties assigned.
  5. Creates and updates job profiles in SuccessFactors using information provided within job descriptions.
  6. Runs reports for HR and other departments as required.
  7. Administers and updates content on the City’s Human Resources web page.
  8. Answers frequently asked questions from applicants and employees related to the hiring processes; refers more complex questions to appropriate HR staff.
  9. Maintains confidential employee files, filing appropriate paperwork in a timely manner.
  10. Prepares letters (e.g. Letters of Extensions, End of Assignment, Temporary Assignment, Appointment Letters) as required.

Education

Two year College Diploma in Human Resources Management or equivalent.

 

Experience and Knowledge

A minimum of one (1) year experience in human resources administration
Intermediate experience with Microsoft Office Suite (including spreadsheets, word processing) and Human Resources Information/Management Systems (e.g. SAP SuccessFactors)

Proof of your current and valid certificate(s) and/or educational qualifications.
Worker Health and Safety Awareness Training certificate from the Ministry of Labour. (may be obtained post offer)

Your compensation

This position is located in Band Level 2 of the Non-Union Salary Scale and has an annual salary range of $64,119 - $78,187 (2025 rates). We offer a comprehensive benefit package and are an Ontario Municipal Employees Retirement System (OMERS) employer.

Hours of work

Monday to Friday, 8:30 a.m. to 4:30 p.m. (35 hours per week).
