Facilities Property Manager – Haynes Development @ Quarry Walk

Location: Oxford, CT
Employment Type: Full-Time

Position Overview

Haynes Development is seeking an experienced Facilities Property Manager of multi-family sector and commercial property. This position would have responsibility for 227 luxury apartments and growing at Quarry Walk in Oxford. This award-winning development requires a knowledgeable Facilities Property Manager to ensure pristine property both internal and external.    

The Facilities Property Manager plays a critical leadership role, ensuring that all building systems function efficiently, safety and regulatory compliance standards are met, and that tenants, customers and visitors enjoy a secure and pristine environment.    The Facilities Property Manager will directly supervise the Superintendent of Property Management and maintenance team.     

Key Responsibilities

Operations & Maintenance:

  • Oversee and manage all aspects of facility maintenance, including HVAC, plumbing, electrical, and general repairs.  Supervises on-site maintenance supervisor and maintenance team.   
  • Conduct regular inspections of the property to ensure compliance with all safety regulations, local health, and environmental guidelines.
  • Develop and implement preventive maintenance programs to minimize downtime and ensure longevity for both Residential and Commercial assets.
  • Monitor and manage energy efficiency initiatives to optimize costs and sustainability efforts.
  • Implements and maintains policies and procedures to uphold luxury brand standards across all properties
  • Coordinates regular inspections and preventative maintenance schedule with the building superintendent as required.  

Vendor & Contractor Management:

  • Source, negotiate, and manage contracts with third-party service providers (e.g., landscaping, janitorial, snow removal, security, plumbing, electrical, HVAC, fire protection, life safety, etc.).
  • Ensure all vendors perform to contract specifications and meet Quarry Walk’s high work standards.
  • Oversee work performed by contractors and approve invoices based on completed work per agreed signed contracts.

Tenant & Customer Relations:

  • Serve as the primary point of contact for commercial tenant facility-related concerns and ensure timely resolution.
  • Coordinate with tenants on buildouts, renovations, and maintenance requests.
  • Work closely with property teams to enhance tenant satisfaction and retention.

Budget & Compliance:

  • Develop and manage the facilities budget, ensuring cost-effective solutions while maintaining high-quality service.
  • Ensure the property adheres to all federal, state, and local regulations, including fire life safety and ADA compliance.
  • Maintain accurate records of maintenance schedules, all required state and local inspections, and maintain compliance reports.
  • Approve vendor invoices, maintain accurate property records and generate regular reports for ownership or asset management team.

Vendor & Contract Management

  • Source, negotiate and manage service contracts for cleaning, landscaping, fire alarm life safety, fire protection, plumbing, electrical, HVAC, property security system, etc. 
  • Ensure vendors meet the quality standards expected in a luxury property environment and per ownership qualities

Emergency Response & Safety:

  • Develop and implement emergency response protocols for the property, including fire, weather-related incidents, and security threats.
  • Coordinate safety training for on-site personnel and maintain emergency preparedness plans.

Qualifications & Experience:

  • 5+ years of facilities and property management experience in commercial, retail, and multi-family use properties.
  • Experience managing vendor contracts and budgets.
  • Familiarity with local building codes, OSHA standards, and ADA requirements.
  • Ability to troubleshoot and resolve facility-related issues efficiently.
  • Excellent communication, organizational, and problem-solving skills.
  • Proficiency in facility management software is a plus.  (AppFolio), Word, Microsoft Excel, etc.  
  • Ability to work flexible hours, including weekends and on-call as needed.
