Aqua Life Swim Academy is one of Ontario’s leading swim schools, known for high-quality instruction, professionalism, and a strong commitment to safety and community. With multiple locations across the province, we’re growing, and we’re seeking a proactive, organized, and detail-oriented Human Resources Coordinator to help build and support the people side of our organization.

Position Overview

The Human Resources Coordinator is responsible for managing the full employee lifecycle, from recruitment and onboarding to compliance, training, and performance management. This position requires a highly organized, resourceful, and dependable individual who can work independently and take initiative to see projects through to completion.

Key Responsibilities

Recruitment & Employer Branding

  • Create and post job ads across multiple job boards and social media platforms.
  • Screen applicants, conduct phone interviews, and coordinate second-stage interviews.
  • Oversee reference checks, offers, and employment contracts.
  • Manage recruitment tracking and ensure timely hiring processes.
  • Partner with the marketing team to enhance employer brand presence on social media and the careers page.
  • Represent Aqua Life’s positive culture and values across all recruitment touchpoints.



Employee Onboarding & Training

  • Coordinate onboarding schedules and ensure all new hires complete required training and orientation.
  • Deliver HR-related onboarding sessions, including company policies, culture, communication standards, and health & safety overview.
  • Collaborate with aquatic and client care leaders to ensure role-specific training is completed.
  • Create and maintain employee profiles in BambooHR and the Go High Level LMS.
  • Track and verify certifications, Vulnerable Sector Checks, and completion of all required documentation.
  • Ensure each new employee’s transition into the organization is smooth, compliant, and welcoming.



HR Management & Compliance

  • Develop, update, and distribute HR policies, procedures, and best practices.
  • Track and support performance reviews, salary reviews, and professional development.
  • Manage group insurance administration and employee benefit documentation.
  • Ensure compliance with Ontario Employment Standards, human rights legislation, and workplace safety requirements.
  • Serve and lead the Health & Safety Committee, coordinating meetings, documentation, and follow-ups.





Payroll & Recordkeeping Support

  • Liaise with the payroll and accounting teams to confirm new hires, terminations, pay adjustments, and vacation pay.
  • Maintain accurate and up-to-date employee records, pay rates, and employment status in BambooHR.
  • Ensure timely and accurate communication of payroll changes.



Employee Relations & Engagement

  • Act as the first point of contact for HR-related inquiries and employee support.
  • Promote a positive, inclusive, and professional workplace culture.
  • Help coordinate staff engagement initiatives such as recognition programs, events, and team communications.
  • Support employee surveys and follow-up actions to strengthen morale and retention.



Special Projects & System Development

  • Lead or support HR projects such as:
    • Implementation and ongoing management of the LMS
    • HR policy manual and employee handbook creation
    • Streamlining onboarding and training systems
    • Employer branding and recruitment marketing initiatives
    • HR data tracking and reporting dashboards



Cross-Departmental Support

  • Collaborate with marketing on HR-related social media content, such as job postings, staff spotlights, and culture features.
  • Support operations and department heads in tracking staff certifications, training attendance, and HR-related KPIs.
  • Assist management in coordinating team communications, training schedules, and compliance projects.



Qualifications

  • Minimum 2 years of HR experience (recruitment and onboarding experience required).
  • Post-secondary education in Human Resources, Business Administration, or a related field.
  • Familiarity with BambooHR, Google Workspace, and virtual communication tools
  • Strong understanding of Ontario employment legislation and HR best practices.
  • Excellent organizational, administrative, and communication skills.
  • High attention to detail, accuracy, and follow-through.
  • Professional, trustworthy, and capable of handling confidential information.
  • Self-starter who works efficiently with minimal supervision and takes pride in delivering results.
