The Records Management Specialist is an integral member of the Bohemia Interactive Simulations (BISim) team providing administrative support with the identification, preparation, collection, and disposition of records in accordance with BISim policies and procedures. This position will collect required information and maintain repositories of documentation generated by multiple participants in a complex, multi-project organization.
Responsibilities:
Export Opportunity Coordination
- Collaborate with BISim Business Development to compile and complete required export documentation in compliance with internal procedures and regulatory requirements.
- Submit export-related forms and packages for internal and external review and approval.
- Coordinate feedback resolution and revisions with:
- Parent Company Compliance and Export/Trade Compliance Teams
- BISim Business Development, Contracts, and Legal teams
- Parent Company Compliance and Export/Trade Compliance Teams
- Track submission status and maintain detailed records through internal systems and tracking tools.
- Ensure timely updates to documentation to reflect the latest guidance or changes in requirements.
Administrative Tasks
- Provide general administrative support to the Business Development, Contracts, and Legal teams as needed.
- Schedule and coordinate meetings
- Assist with data entry, report generation, and documentation formatting to support internal reviews
- Track deadlines, and action items to ensure follow-through across cross-functional teams.
- Support onboarding and training coordination for new partners or team members, including documentation preparation.
Partner Process Management
- Assist BISim Business Development in the preparation of partner agreements, documentation, and engagement materials.
- Liaise with Contracts and Legal teams for required reviews, clarifications, or legal input.
- Manage submission and approval workflows, including comment tracking and resolution.
- Maintain accurate, current documentation and audit trails within internal tracking systems.
- Monitor key deadlines and follow up to ensure timely processing and compliance with internal governance protocols.
Additional Notes
- This position may occasionally require communication across international teams and navigating multinational compliance procedures.
- Attention to detail and organizational skills are critical to success in this role.
Education & Skills:
Required Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field.
- Proven ability to manage multiple projects and coordinate with various stakeholders.
- Comfortable working both independently and collaboratively.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent oral and written communication skills.
Desired:
- Experience with ITAR and Export regulations
- Experience working with external agencies and MOD or DoD acquisition approaches
- Knowledge and of the VBS product range and experience in use
