Position Description:

The Electronic Medical Record (EMR) Administrator manages the EMR systems used by OPSB clinics to ensure the accuracy, security, and accessibility of patient data. The EMR Admin is responsible for the implementation, maintenance, and optimization of the organization's EMR system. They ensure that the system functions smoothly, complies with all legal and regulatory standards (including HIPAA), and supports clinical and administrative staff in their daily duties. The EMR Administrator serves as a primary point of contact for staff training, troubleshooting technical issues, and managing data integrity. This role requires a strong understanding of medical and technical processes, healthcare regulations, and data management. 

Responsibilities:

  • System management and maintenance: Administer the EMR system, including user setup and access rights, security protocols, dictionaries, and tables. Oversee the implementation of system updates and vendor releases.
  • Compliance and security: Ensure all record-keeping procedures comply with legal standards, such as HIPAA and SOX. Implement and manage security measures to protect confidential patient information from unauthorized access.
  • Staff training and support: Provide initial and ongoing training to all staff on EMR software, documentation practices, and compliance protocols. Serve as the main point of contact for troubleshooting technical issues and providing user support.
  • Workflow and process improvement: Work with clinical, billing, and administrative staff to optimize EMR workflows. Identify opportunities for system enhancements to improve efficiency, data quality, and documentation standards.
  • Data integrity and reporting: Conduct regular audits of patient records for accuracy and completeness. Generate and analyze reports for management, billing, quality improvement, and regulatory purposes.
  • Liaison activities: Serve as the liaison between end-users, the IT department, and software vendors to coordinate system improvements and resolve issues.
  • Records management: Manage the processing of requests for medical records from authorized personnel, patients, insurance companies, and other third parties. 

 

Qualifications and Skills:

 

  • A bachelor's degree in Health Information Management, Computer Science, or a related field is often preferred. An associate's degree or equivalent experience may be acceptable for entry-level roles.
  • Experience in a healthcare administration or similar role, with direct experience using EMR or EHR systems. Experience with Orthotic & Prosthetic focused systems, such as Nymbl or OPIE is preferred.
  • Relevant certifications, such as a Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT), are highly valued. 

 

Technical Skills:

  • Expertise in EMR/EHR software and health information management systems.
  • Knowledge of database management and reporting tools (e.g., Dataview or Power BI).
  • Proficiency with Microsoft Office Suite.
  • Strong understanding of medical terminology, healthcare laws (especially HIPAA), and compliance regulations. 

 

Soft Skills:

  • Excellent organizational and time-management abilities.
  • Exceptional attention to detail and accuracy.
  • Strong analytical and critical-thinking skills to resolve system issues.
  • Excellent verbal and written communication skills to effectively train staff and communicate with stakeholders.
  • High level of integrity and ability to handle confidential information discreetly.
