This role follows an onsite model to accommodate business needs while maintaining team collaboration.

HOURS: Monday - Friday ; 8am - 4:30pm

SUMMARY: The Administrative Coordinator at Neogen is responsible for supporting day-to-day office operations to ensure a smooth, efficient, and professional work environment. This role includes maintaining the quality of common areas, overseeing front desk operations, managing visitor documentation, and assisting with office logistics, including event coordination and supply management. The Administrative Coordinator also plays a key role in supporting the accounting department by performing daily financial functions, assisting with audit preparations, and ensuring compliance with financial processes. The position requires strong organizational skills, attention to detail, and the ability to collaborate effectively across various teams to maintain a positive and productive atmosphere for both employees and visitors.

ESSENTIAL FUNCTIONS:

  • Maintain and improve the upkeep and maintenance of conference rooms, break rooms, lactation rooms, and other common areas, ensuring a welcoming, professional, and engaging environment for both employees and visitors.

  • Ensure smooth front desk operations, coordinate office functions, and contribute to maintaining an efficient and positive work environment.

  • Maintain sign-in documentation, visitor badge tracking, visitor logs, ensuring arrivals are promptly communicated to relevant team members and that we maintain adherence to company visitor protocols.

  • Administer day-to-day office operations, including greeting visitors, assisting with tours, coordinating client/vendor workshop logistics, managing filing systems, and maintaining office supply inventory.

  • Assist with purchasing logistics for supplies, ensuring timely and accurate procurement.

  • Coordinate communications related to Neogen donations, ensuring timely updates and proper handling of donation-related inquiries.

  • Performing daily accounting functions to ensure accurate and timely financial processes, including assisting with internal and external audit preparations, coordinating document requests, providing relevant financial documentation, and supporting compliance efforts.

  • Other duties as assigned by the manager.

PREFERRED QUALIFICATIONS:

  • High School Diploma or Equivalent required.

  • Previous administrative experience is preferred.

  • Strong interpersonal skills with the ability to interact professionally with visitors.

  • Exceptional organizational skills, with the ability to manage multiple tasks, coordinate events, and maintain systems for scheduling, filing, and documentation.

  • High attention to detail, particularly in maintaining visitor logs, security protocols, and office documentation, while ensuring accuracy and compliance.

  • Basic knowledge of purchasing processes and logistics, with the ability to coordinate and track procurement activities.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management tools.
