$34.90 - $52.35Major Responsibilities:- Oversees development of project plans and related performance metrics for all AA initiatives to ensure all project activities are executed within established timelines and budgets. Uses planning tools and techniques and sets milestones appropriate for size and scale of assignment. Handles changes in project scope and seeks advice when needed. Reviews milestones for appropriate frequency and significance. Coordinates modifications with initiative owner. Maintains project plans on shared resource site.
- Defines project management processes and standards and establishes targets, benchmarks, and performance measures for project delivery. Plans, organizes, controls, and evaluates projects from concept phase to implementation.
- Coordinates timing of milestones between and across initiatives to optimize AA value. Reviews project plans for interdependencies. Holds leaders accountable for management and communication of interdependencies. Restructures project plans, as needed.
- Develops multiple standard communication vehicles (i.e. communication audience, core messages, look and feel, and rhythms) to be used within AA to better inform AA team members of significant projects and reinforce AA strategic objectives. Surveys and interviews focus groups to identify the best way to communicate AA strategies. Identifies common themes and designs vehicles to support feedback. Evaluates communication vehicles for effectiveness.
- Provides consistent and timely communication to project sponsors, project team, and other leaders involved in the project to include a formal reporting process, understanding of project vision and current status. Ensures timely and appropriate communication of AA projects, milestones and implementation occurs for all AA work to improve alignment and coordinated activities throughout function. Drafts talking points, communication content and validates with leaders for effectiveness. Populates communications vehicles with key messages to maximize understanding and impact.
- Identifies and manages change effectively and efficiently in a changing environment. Works with team members to utilize change management processes and tools to create plans to support adoptions of changes required by project or initiative. Leads meetings/work sessions to support execution of engagements. Facilitates the development of the meeting rhythm with AA leaders and work to be done.
- Attends AA leadership meetings and facilitates post meeting communication to gain knowledge of upcoming projects/priorities and keep team members informed with appropriate information.
- Updates existing academic program management tools. Completes in depth analysis and/or process observations to make recommendations for improvements for assigned areas. Assists with data collection, data entry and report generation for benchmarking activities. Advises users how to interpret academic financial, quality, and survey reports to identify opportunity.
- Facilitates the distribution of AA Scorecards to key operational leaders to drive systemwide accountability. Highlights positives and negatives in the report. Validates that intended sense of accountability is achieved.
- Establishes and maintains relationships with AA Leaders to understand their business needs, ensure alignment on objectives, and ensure ongoing buy-in across all project activities. Prepares and monitors project budgets and the plans to support projects identified for future development. Coordinates development of AA budgets and the management of all cost reduction initiatives to efficiently and effectively utilize AA resources.
Licensure, Registration, and/or Certification Required:
- None Required.
Education Required:
- Bachelor's Degree in Business or related field, or
- Bachelor's Degree in Education or related field.
Experience Required:
- Typically requires 3 years of experience in medical education or health care administration in an administrative role.
Knowledge, Skills & Abilities Required:
- Knowledge and expertise in use of project and program management methodologies and tools.
- Advanced computer skills in Microsoft Office Suite.
- Highly motivated, organized, self-starter with a focus on delivery of key project objectives with the ability to work through the challenges associated with projects of varying complexity.
- Familiar with strategy development and deployment methods.
- Demonstrated ability to effectively understand and interpret AA policies and practices, providing options and recommendations within the parameters of acceptability in a thorough and objective manner. Ability to prepare and coach leaders on sound academic practices consistent with current accreditation requirements.
- Knowledge of multiple health profession education disciplines and medical specialties, including medical education accreditation requirements, recruitment practices, compensation methodologies, diversity, performance management, regulatory compliance and employment laws.
- Excellent communication, presentation, and interpersonal skills, with an ability to build/foster strong trusting relationships, influence leaders and develop solutions to achieve results.
