While day-to-day business is a big component of successful facilities, this role will focus primarily on the key performance indicators that drive results! The Facilities Director understands the true impact of excellence in maintenance execution to student satisfaction (NPS), financial performance and investor satisfaction. The Facilities Director will direct, inspire and support the Maintenance Leads throughout the USA. They will provide training and accountability in all aspects of facilities and maintenance including daily operations, leadership, compliance, ESG, safety, inspections, budgets and capital projects. This role will require up to 75% travel to ensure accountability and compliance to support our student’s ability to “Live their best Life.” In addition to these items, they will simultaneously collaborate with their counterparts and other stakeholders throughout our Dot Group of business to meet assigned objectives and KPI’s. Key Responsibilities Facilities and Maintenance • Ensure adherence to the responsibilities and obligations of the Yugo Management Agreements (YMA) as it relates to oversight and management of facilities and maintenance within Yugo spaces. • Complete the development and execution of a Yugo facilities maintenance plan that includes; requirements of YMA, preventative and ongoing maintenance, ensures all our buildings, systems and elements are maintained and serviced according to industry standards and manufacturer requirements in accordance with local, state and federal laws, inventory management. • As needed update or create policies and procedures for Regional and onsite maintenance positions. • Travel onsite to Yugo spaces to conduct inspections, training, coaching and ensure compliance with facilities maintenance and safety plans. • Partner with asset management stakeholders to ensure implementation of capex projects and provide recommendations for asset and safety improvements. • Responsible for Yugo aspects of the agreed Physical Asset Management RACI • Identify opportunities for asset improvement related to safety, security, physical property defects, capital expenditures. Provide recommendations within a detailed business plan to Yugo and GSA leadership for improvements including timeline, scope and cost. Safety and Security • Complete the development, execution and ongoing site-specific safety program in accordance with local, state and federal laws. • Ensure procedures are in place to identify and track regulatory compliance (personnel, environment, fire safety, etc). • Keep meticulous record through noting evidence of compliance documentation including phase one environmental, site asset, fire dept inspections, insurance inspections, life safety maintenance etc. • Partner with asset, operations and legal team for any IAQ or ADA complaints. • Develop and provide ongoing updates to site-specific emergency plans in coordination with local authorities. • Monitor the compliance of safe work practices and use of PPE in the field – use positive reinforcement to correct behavior. Ensure all buildings, staff and procedures comply with OSHA standards and recommendations. • Activate and coordinate emergency response teams in the event of natural disasters in coordination with relevant stakeholders. • Lead regular safety education meetings, regionally or at property level. Financials and Reporting • Partner with operations and support leadership in the preparation of annual operating, maintenance, annual turn, capital budgets, and business plans for all spaces under direct management. • Monitor monthly and quarterly financial performances and ensure accurate and timely reporting. • Provide annual property reports to relevant stakeholders. • Support in the completion of Engineering and Environmental Budget Questionnaires are completed submitted to Asset Manager during budgeting. • Manage oversight of Yugo controlled capex spending. • Adhere to and prepare all required ESG reporting. • Develop strategic short and long term cost saving initiatives within maintenance and facilities to support the financial performance for the spaces and management company. • Develop sophisticated reporting that including but not limited to; requirements of the YMA, status of projects including Yugo Capex responsibilities, strategic recommendations for improvements, and work order completion. • Identify and implement an inventory tracking method/software for fixed assets and inventory control. • Develop cost savings through identifying and executing on national vendor contracts when possible. • Work with Regional Property Manager’s to negotiate outside vendor contracts for region, such as cleaning, landscaping, painting, flooring – monitor quality of services and correct work quality of vendors where needed. • Establish and maintain mechanisms for consistent feedback, and rate feedback based on customer service, outstanding work orders, risks, property performance, and other pertinent metrics. Leadership & Strategy • Develop strategic short- and long-term goals for facilities maintenance for ongoing improvement and scalability. • Ensure maintenance teams are held accountable to following facilities and maintenance programs requirements, through established policies, processes and procedures. • Lead onsite and regional facilities management teams through clear expectations, accountability, creation of succession planning and development of talent. • Lead in the recruitment and on-boarding of new Maintenance Supervisors, including leading the preparation and execution of the Onboarding Agenda and continued mentoring of new Maintenance employees to identify and provide any additional training or support needed through their first 90 days of employment. • Partner with Training department to develop and implement ongoing training initiatives for development and succession planning within maintenance including but not limited to budget management, technical skill development and certification achievement. • Ensure Yugo policies and procedures for maintenance and facilities are up to date to provide an environment of clear expectations and accountability. • In collaboration with operations and support teams develop strategic approaches for accountability of teams and their on-site budgets. • Maintain existing strong working relationships with internal stakeholders and Dot Group counterparts to effectuate efficient and productive collaboration under the direction of the Vice President, Operations. • Provide direction and mentorship to direct team members to ensure their successful ongoing personal development throughout their professional journey at Yugo, putting emphasis on the company's culture of performance and inclusiveness. • Coach and mentor Maintenance Leads, provide technical support and training to develop skills. This is a support role. This position is paid annually within a salary range of $150,000 - $180,000 / year. Experience and Knowledge Education-Expectations-Experience: • Minimum of 10 years in facilities/maintenance or operation roles in property management ideally student housing • Minimum of 5 years in a facilities/maintenance position. • The ability to travel up to 75% of the time • Experience in the development, execution, and maintenance of facilities maintenance plans. • OSHA 10 certification • HVAC certification • Proven ability to develop and manage property maintenance budgets. • Proven ability to develop and manage safety and emergency plans. • Ideally experience in the development or management of inventory/fixed asset software. • Entrata or equivalent experience. • Experience implementing ESG initiatives. • Proven ability to manage short and long term projects in an organized and efficient manner • Ability to read and interpret documents such as laws, safety regulations, operating and maintenance instructions, and procedure manuals. • Communication - Ability to create and write routine reports and correspondence. • Ability to professional present before groups of employees of an organization. • Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists. • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary internal and external customer service • Ability to work independently and to carry out assignments to completion within parameters of instructions given prescribed routines, and standard accepted practices • Ability to provide technical assistance on complex compliance issues in a simple and accurate manner to ensure compliant and quality application.
